Biobibnet-Review Integration

DivData Biobibnet is designed to produce a cumulative biobibliography (biobib) that conforms to the campus guidelines. In addition, it supports several key DivData Review functions for faculty users and department/unit managers during an active review.

Cumulative Biobibliographies and Scholarly/Creative Works

For faculty and other long-term academic appointees, using Biobibnet can simplify the task of preparing for a personnel action by providing the required campus-standard cumulative biobibliography and scholarly and creative materials for reviewers.

Connecting Biobibnet to an active Review file

When an academic elects to use Biobibnet with their Review file, their cumulative biobibliography and annotated scholarly/creative works are fed from Biobibnet into their Review file.

At the beginning of a review, and at any time during the File Building phase, the academic undergoing the review (the candidate) can opt to use Biobibnet to add their cumulative biobibliography to the Review Dossier and provide their scholarly/creative work entries for the Review file. This connection does the following:

  • Adds the cumulative biobibliography to the Review Dossier
  • Adds all scholarly and creative work marked In File (*) to the appropriate tab in Review
    • Digital copies of work must be attached to the entry in Biobibnet; they will be copied into the Review file along with the annotated entry

During the File Building (DP-30) stage in Review, changes in Biobibnet are automatically reflected in the connected Review file.

Once the Review file is submitted to the department or unit, both the Review file and the connected Biobibnet profile are view-only while the department/unit ensures the submission is complete and accurate. As soon as the department accepts a candidate’s file, the cumulative biobibliography and scholarly/creative works are copied to Review and the connection ends. From that point forward, any edits made in one will not be reflected in the other.

Including Cumulative Course History Only

When a candidate is providing a Biobibliography/CV of their own, as may be the case with many nonsenate appointees, there is an additional option to include a Cumulative Course History report on the Dossier tab. This is useful for instructors who may not maintain this level of history within their own CV. Candidates may also choose to exclude this report if appropriate, for example, when they have a course history but are being reviewed in a noninstructional title.

Note that inclusion of the Cumulative Course History is independent of content on the Course Evaluations tab, where the department includes courses relevant to the reviewing unit and period under review.

Courses Taught & Course Evaluations

Course records and evaluation surveys are stored in Biobibnet and then selected by departments, programs and colleges for inclusion in Review files for reappointment and advancement.

When a Review file has been created but not yet initiated, review managers can add certain materials to the file. This includes course records and evaluations stored in the candidate’s Biobibnet profile, which may be selected and copied into the Review file's Course Evaluations tab.

Course records can be added, deleted, or updated from Biobibnet any time the Review file is in the Up For Review (DP-10), Checkpoint: Review Initiated (DP-20), File Building (DP-30) or Dept/Unit Add Materials (DP-40) states.

In Biobibnet department staff manage the teaching portion of the faculty’s profile, including:

  • Making any necessary corrections or additions to course records
  • Attaching any missing evaluation files to course records

In Review the review manager uses Biobibnet as the source for the courses to be included in that specific Review file.

Note that when the faculty member has a Review file that is pending department/unit acceptance (Dept/Unit Accept, DP-35), both the Review file and the connected Biobibnet profile are view-only. They are again editable when the reviewing department/unit either accepts the file or returns it for corrections.

If the department chooses to Accept and Add Materials, either when accepting the candidate's submission or in the event of a request for additional information, the course selection on the Review file's Course Evaluations tab can again be updated. If a Review file has more than one pass, only the current pass can be updated. Course information in previous passes is view-only and can’t be updated.
