Summary of Changes to Biobibnet

User Account Access Changes:

  • Department Manager User – In addition to existing access, this user will be given create, edit, and delete access to records in the Courses Taught area. Will not be able to edit number of evaluations collected in a course record once Online Course Evaluation data has been linked to it.

  • SOE Manager User – Additional access same as Department Manager User

  • Department Biobibnet User - Additional access same as Department Manager User

  • Divisional Manager User - In addition to existing access, this user will be given create, edit, and delete access to records in the Courses Taught area. Will not be able to edit number of evaluations collected in a course record once Online Course Evaluation data has been linked to it.

  • Divisional Biobibnet user - Additional access same as Division Manager User

  • Faculty – Role will be renamed from "Biobib User" to "Faculty User." Role access will be able to view and edit records in their own Biobibnet profile only. Will not be able to edit enrollment and number of evaluations collected in a course record. Will not be able to delete evaluation data. Will not be able to delete course record. Will not be able to add course record. Department staff will need to assist faculty in deleting and adding course records to faculty's Biobibnet profile.

Biobibnet Process Changes:

  • Courses Taught information will be loaded into Biobibnet profiles at end of quarter, after grades are due. Data will be sourced from AIS 3rd week snapshot stored in DWH and copied into Biobibnet profiles.

  • Biobibnet profiles will be created for new non-student instructional faculty at end of quarter, after grades are due. New profiles will be populated with Courses Taught data sourced from AIS 3rd week snapshot stored in DWH.  DivData salary records will be used to identify population.

Biobibnet Courses Taught Screen Changes:

  • Enrollment column label changed to instead read "3rd Week Enrollment"

  • Source of enrollment data now selected from either attributed enrollment or whole enrollment depending on circumstances. Attributed enrollment for an instructor is the enrollment for that course and section, divided by the number of instructors for that course and section. Whole enrollment for an instructor is the total enrollment for a course, across all sections.

    • Crosslisted class with single instructor - 3rd week enrollment number will use attributed enrollment
    • Crosslisted class with multiple instructors - 3rd week enrollment number will use attributed enrollment summed across all classes with same class number, course offering number, year and quarter
    • Single class with single instructor - 3rd week enrollment number will use attributed enrollment
    • Single class with multiple instructor - 3rd week enrollment number whole enrollment
    • Link to evaluation set will be shown alongside course record
    • Number of evaluation responses collected will be added to course record
    • "Course Evals" (number of evaluations collected) will be locked against editing when evaluations are loaded in from the Online Course Evaluation system
    • Deleting a course record will also delete any attached evaluation sets

Single Evaluation Set Screen (new screen):

  • Each response set will be titled with the course information, as well as the original Online Course Evaluation survey title (in parenthesis)

  • Responses displayed first as summary statistics graphs, and then later as individual responses

  • Summary statistics graphs show the response mean as the arithmetic average. Unanswered responses are not counted as part of the mean.

  • Each individual response will be labeled with both the record's order position out of the total set, as well as the unique Online Course Evaluation response ID

  • Each individual response will show the response alongside the scale and response mean associated with that question. If the response was collected as a non-numeric answer (a phrase), only the response itself will be displayed.

  • Link to initiate deletion of evaluation set is in the upper right-hand corner of the screen.
