I. SENATE FACULTY (Professor and Teaching Professor)
The following deadlines are established by the Campus Provost/ Executive Vice Chancellor to ensure timely completion of the academic personnel review process. Please refer to CAPM 400.220.2 for policy on deadlines.
Candidate materials may be due sooner if an earlier deadline is established by the department chair and/or dean. A candidate’s failure to submit to the department a complete set of required materials in DivData Review by the deadline will result in an automatic one-year deferral, and the effective date of the subsequent action will not be retroactive. However, reappointment and mandatory reviews cannot be deferred, and will proceed without candidate materials if none are submitted by the deadline. An extension of up to 30 days may be approved by the Dean.
Files are prioritized by the Committee on Academic Personnel (CAP) and the Academic Personnel Office (APO) as follows: appointment and retention reviews; tenure and mid-career reviews; other reviews with ad hoc committee requirements; and then all other files in the order they are received.
Candidates and appropriate academic administrative officers are notified as decision letters become available online in DivData Review. Personnel actions are effective July 1, 2025.
A. Appointment Files
Close communication with the APO will facilitate the expeditious handling of appointment reviews.
Deans may establish deadlines for the department’s submission of appointment files, taking into consideration the following deadlines that the campus is required to meet:

B. Advancement Files
All other review files are subject to the following deadlines. Confirming external reviewers over the summer is a recommended best practice that can assist departments in meeting campus deadlines. Files will be accepted after the deadlines, but a late file might not be finished before the July 1 effective date. Late files may be held over until CAP returns in the fall quarter, and the resulting outcome will be retroactive to July 1. Urgent retention files can be submitted at any time and will receive top priority.

All review files for actions that have not been delegated must be forwarded to the Academic Personnel Office according to the chart below:
